OCR Best Practices

Scanning with OCR (Optical Character Recognition) creates a searchable .pdf. This is a great service for all our users, and is the first step in improving the accessibility of documents for patrons who use screen readers.

Do not scan directly into ILLiad. This results in a flat (non-text-searchable) tiff. Instead, scan using Adobe Acrobat Pro or Scannx software to create a searchable pdf.

To get the best scan:

  • Please provide one scan per page 

  • Scan at a resolution of at least 300 ppi 

  • Use grayscale (for black & white text/images) or color (when color is important or requested). Don't scan in black & white.

  • Brightness of 50% is recommended - settings that are too high or too low can decrease the accuracy of your image.

  • Make sure the image is straight. Skewed pages can lead to inaccurate OCR.

  • Older and discolored documents should be scanned in RGB mode in order to capture all of the image data.

After you have scanned the document, make sure to clean it up (remove black borders, etc) and preview all the pages in Acrobat to make sure all the necessary information is present. Save the final version with the transaction number as the file name, and make sure that is the ONLY version of that scan in your ILLiad folder.
